  • information you choose to provide in free-text survey responses or correspondence;

  • technical information about use of our website and electronic communications, where collected lawfully; and

  • other information you choose to provide to us.

Please avoid providing unnecessary personal information about other people when completing free-text survey questions or corresponding with us.

3. How we obtain personal information

We may obtain personal information:

  • directly from you;

  • when you join or subscribe to Restore Trust communications;

  • when you complete a survey, form or petition;

  • when you contact us;

  • when you donate, volunteer or participate in a Restore Trust activity;

  • through your interaction with our website or communications;

  • from information that is lawfully available to us from public sources; and

  • from service providers acting on our behalf.

Where we obtain information about you from another source, we will provide appropriate privacy information where required by law.

4. How we use your information

We may use personal information to:

  • communicate with supporters and members of the public;

  • provide information about Restore Trust and its activities;

  • conduct surveys, consultations and research;

  • understand supporters' and National Trust members' views and priorities;

  • decide which issues and campaigns Restore Trust should prioritise;

  • research matters relevant to Restore Trust's purposes;

  • analyse participation in National Trust governance and voting;

  • encourage lawful participation in National Trust elections, meetings and other governance processes;

  • organise campaigns, events and volunteer activities;

  • maintain accurate contact and communication-preference records;

  • improve our website, communications and supporter engagement;

  • comply with legal and regulatory requirements;

  • prevent fraud, misuse and security incidents; and

  • produce aggregated or anonymised research, statistics, reports and publicity.

We may publish statistics or conclusions drawn from surveys and other research where individual respondents are not identified.

We will not publish or publicly attribute an identifiable individual's survey answers to that person without an appropriate lawful basis and, where appropriate, their permission.

5. Surveys, research and supporter engagement

From time to time, Restore Trust invites supporters and members of the public to take part in surveys, consultations and other research.

Survey responses may include information about:

  • National Trust membership;

  • National Trust voting and participation;

  • experiences of National Trust properties;

  • views and priorities concerning the National Trust;

  • Restore Trust campaign priorities;

  • willingness to participate in Restore Trust activities;

  • communication preferences; and

  • other matters identified in the particular survey.

Where a survey response can be linked to you, we may combine appropriate information from that response with information we already hold about you, such as your name, contact details, National Trust membership status and communication preferences.

We may use this information to understand our supporters, administer campaigns and make our communications more relevant. This can include placing supporters into groups or segments according to relevant factual characteristics, interests, preferences or previous engagement.

We will explain significant uses of identifiable survey information when we collect it.

We may also analyse survey answers on an aggregated or anonymised basis. Once information has been genuinely anonymised so that individuals are no longer identifiable, data-protection law does not apply to that anonymised information.

6. Profiling and segmentation

Restore Trust may use limited profiling or segmentation to organise its supporter communications and activities.

For example, we may distinguish between:

  • current, former and non-members of the National Trust;

  • people who prefer email or postal communications;

  • people interested in particular Restore Trust activities;

  • people who have expressed an interest in attending an event or volunteering; or

  • people who have asked us to contact them about a particular matter.

Where permitted by law, we may use information about supporters to select communications that are likely to be most relevant to them.

We will not subject you to solely automated decisions based on survey responses that produce legal or similarly significant effects on you.

You have the right to object at any time to processing of your personal information for direct-marketing purposes, including profiling related to direct marketing.

7. Political opinions and other special-category information

Some information voluntarily provided to Restore Trust, particularly in surveys, correspondence or free-text answers, may reveal or allow an inference to be drawn about a person's political opinions or other information that receives special protection under data-protection law.

We will only process special-category personal information where we have both an appropriate lawful basis under Article 6 UK GDPR and an applicable condition under Article 9 UK GDPR and/or the Data Protection Act 2018.

We will not use political opinions or other special-category information to target an individual with direct-marketing communications unless we have an appropriate lawful basis and special-category condition for doing so.

Where we rely on your explicit consent for such processing, we will ask for that consent separately. You may withdraw that consent at any time.

Where practicable, we will use potentially sensitive survey answers for aggregate research rather than individual targeting.

8. Our lawful bases for processing

The lawful basis we rely on depends upon why we are using your information.

Legitimate interests

Where appropriate, we may process ordinary personal information because it is necessary for our legitimate interests, or those of another person, provided those interests are not overridden by your interests, rights and freedoms.

Those interests may include:

  • carrying out Restore Trust's activities and purposes;

  • understanding our supporters and their priorities;

  • conducting research;

  • administering supporter relationships;

  • improving our communications;

  • organising campaigns and events;

  • maintaining accurate records; and

  • protecting the security and integrity of our systems.

Where we rely on legitimate interests, we consider the necessity and proportionality of the processing and its impact upon the people concerned.

Consent

Where consent is required, we will ask for it.

This may include consent for particular electronic communications or explicit consent for specified processing of special-category information.

You may withdraw consent at any time. Withdrawal does not affect processing that lawfully took place before consent was withdrawn.

Legal obligation

We may process information where necessary to comply with a legal or regulatory obligation.

Contract

In limited circumstances we may process information because it is necessary to perform a contract with you or take steps at your request before entering into one.

Other lawful bases may apply where permitted by law.

9. Direct marketing

Restore Trust may communicate with supporters about its aims, campaigns, activities, events, fundraising, National Trust governance and opportunities to participate or support our work.

We will send electronic direct marketing only where permitted by applicable data-protection and electronic-communications law.

Where consent is required, we will obtain it before sending the relevant communications.

Every marketing email we send will provide an appropriate means of unsubscribing.

You may tell us at any time that you do not wish to receive direct marketing from us.

You have an absolute right to object to the processing of your personal information for direct marketing, including related profiling. If you exercise that right, we will stop using your information for that purpose.

We may retain limited information on a suppression list so that we can ensure that we respect your preference not to receive future marketing.

10. Communication preferences

You may choose which methods Restore Trust uses to communicate with you where we offer those choices.

These may include:

  • email;

  • post; and

  • messaging services such as WhatsApp.

Permission to contact you personally about something you have raised with us is separate from permission to send you general campaign or marketing communications.

You may change your communication preferences at any time by contacting us or by using an unsubscribe or preference facility provided in our communications.

11. Donations

Where you make a donation, we may process information necessary to administer the donation, maintain appropriate financial records, communicate with you about it, prevent fraud and comply with our legal obligations.

Payment information may be processed on our behalf by payment providers. Restore Trust need not receive or retain complete payment-card details where payment is processed directly by an external payment provider.

We may also communicate with supporters about fundraising where permitted by law and in accordance with their communication preferences.

12. Sharing your information

We do not sell your personal information.

We may disclose personal information to trusted service providers that help us operate Restore Trust, including providers of:

  • website hosting and administration;

  • databases and supporter-management systems;

  • email and communications services;

  • survey services;

  • data storage and cloud services;

  • payment and donation processing;

  • IT support and security;

  • professional advice; and

  • analytics and related technical services.

Where these organisations process personal information on our behalf, we require appropriate contractual and security safeguards.

We may also disclose information where required by law, regulation, court order or another lawful authority, or where reasonably necessary to establish, exercise or defend legal rights.

If Restore Trust or RT2021 Ltd undergoes a reorganisation, merger or transfer of activities, relevant personal information may be transferred subject to appropriate safeguards.

13. International transfers

Some of our service providers may process information outside the United Kingdom.

Where personal information is transferred internationally, we will ensure that an appropriate lawful transfer mechanism and safeguards are used where required by UK data-protection law.

You may contact us if you would like further information about the safeguards applicable to a particular transfer.

14. How long we keep information

We retain personal information only for as long as reasonably necessary for the purposes for which it is held, including legal, accounting, regulatory and record-keeping requirements.

We periodically review information and delete or anonymise information that is no longer required.

In particular:

  • identifiable survey responses will be reviewed after the relevant research or campaign has concluded;

  • supporter profiles and segments will be periodically reviewed for continued relevance and accuracy;

  • communication preferences and objections will be retained for as long as necessary to respect them;

  • financial records will be retained for any period required by law; and

  • aggregated or genuinely anonymised statistics may be retained for research and historical purposes.

Where appropriate, a particular survey or activity may specify a more precise retention period when information is collected.

15. Keeping information accurate

We take reasonable steps to ensure that personal information used by Restore Trust is accurate and, where necessary, kept up to date.

Please tell us if your contact details or other relevant information change.

Where information has been used to place you in a supporter group or segment and we become aware that the underlying information is materially inaccurate, we will take reasonable steps to correct the information and associated classification where appropriate.

16. Security

We use appropriate organisational and technical measures designed to protect personal information against unauthorised or unlawful access, alteration, disclosure or destruction and against accidental loss.

Access to personal information is limited to people and service providers who need it for appropriate Restore Trust purposes.

No internet-based system can be guaranteed to be completely secure, but we take reasonable steps appropriate to the nature of the information we hold.

17. Your data-protection rights

Depending on the circumstances, you may have the right to:

  • obtain confirmation that we process your personal information and obtain a copy of it;

  • ask us to correct inaccurate or incomplete information;

  • ask us to erase personal information;

  • ask us to restrict processing;

  • object to processing based on legitimate interests;

  • object to direct marketing;

  • receive certain information you provided to us in a portable format;

  • withdraw consent where processing is based on consent; and

  • obtain safeguards relating to certain automated decision-making where applicable.

Some rights are subject to legal conditions and exemptions.

Your right to object to direct marketing is absolute. This includes profiling related to direct marketing.

To exercise a right, contact contact@restoretrust.org.uk.

We may need to take reasonable steps to verify your identity before responding.

18. Complaints

If you have concerns about our handling of your personal information, please contact us first so that we have an opportunity to address them.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data-protection regulator.

Information about making a complaint is available at ico.org.uk.

19. Children

Restore Trust's campaigning and supporter activities are principally intended for adults.

We do not knowingly seek to collect personal information from children for supporter profiling or direct-marketing purposes. If we become aware that information about a child has been collected inappropriately, we will take appropriate steps to delete or otherwise deal with it.

20. Other websites

Our website and communications may contain links to websites operated by other organisations, including the National Trust.

Those organisations operate their own websites and privacy practices. Restore Trust is not responsible for their handling of personal information after you leave our website, and you should consult the relevant organisation's privacy information where appropriate.

The current version will be published on our website and will show the date on which it was last updated.

Where a change materially affects the way we use existing personal information, we will take appropriate steps to bring that change to the attention of affected individuals where required.
